Owning an investment property is as much a bookkeeping exercise as it is a property one — rental income, a long list of deductible expenses, and loan interest all need to be tracked accurately, especially once you own more than one property.

Separate tracking per property

Once you have more than one property, lumping all rental income and expenses together makes it impossible to see how each one is actually performing. Tracking categories or separate accounts per property make reporting (and decision-making) far clearer.

Getting expense categories right

Repairs, capital improvements, loan interest, rates, insurance and agent fees are all treated differently, and mixing them up causes real problems at tax time. Recording expenses correctly as they happen is far easier than trying to reclassify a year’s worth of transactions later.

Rental income reconciliation

Property manager statements rarely match a simple bank deposit — fees, repairs and other deductions are often taken out before the balance hits your account. Reconciling against the actual statement, not just the bank transaction, keeps your records accurate.

Loan interest isn’t always straightforward

If a loan has been redrawn or refinanced, working out the deductible portion of interest can get complicated. It’s worth having this tracked properly rather than guessing at tax time.
