Why Separation Matters
Each investment property needs its own clean record of rental income, expenses, loan interest, and depreciation-related costs. Mixing properties together in one general ledger — or worse, one bank account — creates real problems:- You can’t tell which property is actually performing and which one is dragging on returns
- Your accountant has to untangle mixed transactions at tax time, which costs more and increases the chance of errors
- If the ATO ever asks questions about a specific property, mixed records make it much harder to substantiate claims
What Proper Record-Keeping Looks Like
- A separate tracking category (or bank account) per property — in Xero or MYOB, this usually means using “tracking categories” so every transaction is tagged to the right property without needing fully separate sets of books
- Rental income reconciled against what the property manager actually remits, not just the gross rent — property managers typically deduct their fee before transferring funds, and both figures need to be recorded correctly
- Loan interest tracked separately per property, since interest deductibility is tied to the specific loan and property, not combined
- Capital expenses kept separate from repairs and maintenance — this distinction affects how costs are treated at tax time, and it’s an area worth checking with your accountant if you’re ever unsure which category something falls into
Common Issues With Multiple Properties
The most common thing we see is a landlord using one personal account for rent from several properties, with expenses paid from the same account with no tagging at all. It works fine until tax time, when twelve months of mixed transactions need to be sorted property-by-property retrospectively — a slow, expensive process compared to tagging transactions correctly as they happen. Do I need separate bank accounts for each investment property? It helps, but it’s not strictly necessary — using tracking categories in Xero or MYOB lets you tag every transaction to the right property even from a shared account. Can a bookkeeper tell me which expenses are tax-deductible? A bookkeeper can record and categorise expenses accurately, but specific deductibility questions are best confirmed with your accountant, since this can depend on your individual circumstances. GoBookaroo is a bookkeeping service. We are not a registered BAS Agent, Tax Agent or accountant unless stated otherwise, and we’re happy to work alongside your existing accountant on deductibility and tax treatment questions.Free Download
