Running a trade business means your day is spent on the tools, not in front of a screen — which is exactly why bookkeeping tends to slip for tradies more than most. Here are the mistakes we see most often, and what to do instead.

Mixing personal and business spending

Paying for a job material on a personal card, or grabbing cash for a quick supply run, makes reconciliations messy and can understate your real expenses. A dedicated business account and card, used consistently, makes everything downstream easier.

Invoicing late (or not at all)

It’s easy to finish a job and move straight onto the next one without sending the invoice. The longer it sits, the easier it is to forget details — and the longer you wait to get paid. Invoicing from Xero on the day a job wraps up keeps cash flow moving and your records current.

Not tracking job costs properly

Without materials and labour coded against the right job, it’s hard to know which jobs are actually profitable. A bit of structure in Xero around job costing or tracking categories makes this visible instead of guesswork.

Letting reconciliations pile up

A few weeks of unreconciled transactions turns into a few months very quickly when you’re flat out on-site. Once it piles up, it’s harder to remember what a transaction was for, and BAS time becomes stressful instead of routine.

Getting it sorted

We work with tradies and trade businesses across Norwest and the Hills District to get Xero set up properly and keep it that way — see our tradie bookkeeping service for the full picture.

GoBookaroo provides bookkeeping and Xero administrative support only, and is not a registered BAS Agent, Tax Agent or accountant unless stated otherwise.
